JOB OVERVIEW
Organize, plan, and execute events such as conferences, corporate events, trade shows, seminars, workshops, and external and internal meetings in accordance with business objectives. Prepare and manage events budget, ensuring cost-effective solutions. Liaison with relevant stakeholders and guide the decision-making process to prepare agendas and make business decisions. Communicate with relevant parties to organize participants' registration, accommodation, and transportation. Negotiate contracts with vendors and suppliers to secure the best possible terms.
KEY ACCOUNTABILITIES
Events planning and delivery
Plan and manage all aspects of corporate events, including conferences, trade shows, seminars, workshops, and external and internal
Coordinate event logistics such as venue selection, catering, transportation, and accommodation.
Manage on-site event staff and volunteers, providing clear direction and support.
Handle post-event activities, including debriefs, feedback collection, and reporting.
Product management
Develop and implement promotional strategies to enhance event visibility and attendance.
Perform analysis on specific aspects to stay abreast of trends and best practices in event planning and management.
Ensure all events comply with health, safety, and company standards.
Cost management
Monitor costs, including tracking budgets, valuing completed work, and overseeing supplier payments, to help control costs and ensure value for
Negotiate contracts with vendors and suppliers, securing the best possible terms
Events development and design
Contribute to the generation of new ideas and topics for conferences and events; develop detailed proposals and business cases that support company marketing plans.

Work collaboratively with other professional teams and over organizational boundaries to ensure service users experience cohesive and seamless support to meet their needs.
Liaise with internal stakeholders to understand event objectives and requirements.
Work scheduling and allocation
Design monthly schedule and, if necessary, assign work to others to speed up office workflow and ensure high-priority tasks get done.
Create detailed event timelines and project plans to ensure seamless execution.
QUALIFICATIONS
We are seeking dynamic and results-driven professionals who have the following:Â
5+ years of experience in event planning and management, preferably within the energy or corporate
Proven track record of successfully managing large-scale events.
Strong organizational and project management skills.
Excellent negotiation and vendor management abilities.
Proficient in event management software and tools.
Outstanding communication and interpersonal
Ability to work under pressure and meet tight deadlines.
Flexibility to work evenings, weekends, and travel as needed.
